Each event is different. Your signed quotation or contract is the controlling record for the agreed scope, fees, payment dates and any event-specific terms.
Quotations & scope
Prices in the service guide are starting prices and may change with the event brief. The final quotation records the client and event details, date and venue, guest count, services, crew and equipment, deliverables, transport or logistics, taxes where applicable, payment schedule and quotation validity. Work outside the agreed scope may require a revised quotation.
Booking & payment
A 50% booking deposit is recommended to reserve the event date and crew. Unless otherwise agreed in writing, the remaining balance is due no later than 48 hours before the event. Equipment-only hire may require full payment and a refundable security deposit before equipment is released. Large productions may use milestone payments.
Event information & access
The client is responsible for providing accurate schedules, venue information, access permissions, brand assets and required approvals in good time. If event conditions differ materially from the original brief, the production scope, timing or price may need to be adjusted by agreement.
Timing, overtime & logistics
Coverage starts at the agreed call time. Overtime, late-night coverage, extra locations, or extended setup and strike time may attract additional charges. Transport can be quoted separately for venues outside the standard service area or equipment requiring dedicated logistics. Any applicable travel, loading, access or accommodation charges will be set out in the quotation.
Deliverables & storage
Digital deliverables are provided through an online gallery, download link or other agreed method. Image counts, film duration, formats and delivery timing are confirmed in the quotation. Long-term archival storage is not guaranteed unless specifically included; clients should maintain their own backups.
Third-party conditions & permissions
Drone services depend on venue suitability, weather, safety requirements and applicable aviation permissions and are not guaranteed. Venue, supplier and third-party charges may be subject to their own terms. Any third-party cost already incurred remains payable as described in the signed quotation.
Cancellation & rescheduling
The booking deposit generally reserves the event date and crew and is therefore non-refundable. Where a client requests a reschedule, Influenza Events will make reasonable efforts to transfer the booking to a mutually available date. Charges already incurred from venues, suppliers or other third parties remain payable. The signed quotation or contract will set out the terms for the specific booking.
